Position: Sample Coordinator

Department: Sample Receiving

Shift: First (12:00 pm – 8:30 pm)

Reports to: Technical Director

FLSA Status: Non-Exempt

 The Sample Coordinator is the gate keeper of the laboratory. The position is responsible for ensuring that all samples meet the requirements of STLs sample acceptance policy, are entered into our LIMS and made available to the lab staff in a timely manner. Since analysis cannot begin until all steps above are completed the Sample Coordinator has a tremendous impact on the overall operations of the lab staff. Understanding what tests need to be started immediately upon receipt and prioritizing those samples above tests that will not be started until the next day can save analysts hours each day.

    • Prioritize sample logins in a manner that results in samples being ready for analysis when analysts need them

    • Ensure all aspects of Sample Acceptance policy are met or otherwise documented. This includes verifying preservation of all samples (where not prohibited by method)

    • Label and distribute samples to the lab staff in a timely manner

    • Identify samples that require special attention and communicate to the proper team members. This includes the following:

    • Enter data into the LIMS from Chain of Custody records accurately and quickly (an accuracy rate of 98% or higher is required at all times)

    • Choose appropriate matrix, Analyses(s), method(s) and Analyte(s)

    • Choose appropriate TAT for all tests

    • Enter all required data, qualifiers and comments

    • Enter customer Specific information

    • Ensure client, project and order specific requests are properly entered into LIMS

    • Receive samples delivered by commercial carriers and walk in customers

    • Identify and notify the proper team members of samples that require attention from Project managers or Laboratory Staff.

    • Scan COCs into LIMS within 1 hour of completing login

    • Assist Sample Custodian when needed

    • File and scan samples in proper locations

    • Enter and review results from field analysis

    • Support bottle preservation and bottle order staff when needed

    • Coordinate pickups and deliveries to subcontract labs

    • Enter results from subcontract labs into LIMS

    • Maintain knowledge and understanding of

      • Laboratory Methods and technology

      • Laboratory accreditation and Quality Assurance

      • Specific receipt and login needs of regulatory programs
  • Bachelor’s Degree in Microbiology, Chemistry or Environmental Science or equivalent experience preferred.

  • Data Entry accuracy (Typing) and WPM of at least 60-80

  • Proficient in Microsoft Office, Quickbooks and other windows software

  • Ability to work outside of scheduled hours as required to meet client / workload needs. Including the ability to work from home during inclement weather.

  • Enjoys working in a team environment, but can also function independently.

  • Great prioritization, organizational and multi-tasking skills. Be able to manage several concurrent projects and work under pressure.

  • Superior written and verbal communication abilities.

  • A willingness to learn new things.

  • Have strong interpersonal skills with an outgoing personality and a good sense of humor.

  • Hard working, tenacious, and demonstrate excitement and enthusiasm around exceeding goals and delivering great customer service.
